Unsanctioned SaaS Applications

The Unsanctioned SaaS Applications page gives you total visibility of your SaaS applications–regardless of whether they’re licensed, approved, or authorized–so you can reduce costs and eliminate risks. For details, see Discovering Shadow Spend.

The Unsanctioned SaaS Spend table only displays when your company has connected an expense or financial software to SaaS Management. For a list of expense SaaS applications that are supported by SaaS Management, see the Expense column in Instructions.

Accessing Unsanctioned SaaS Applications

To access the Unsanctioned SaaS Application page, go to the SaaS menu and select Unsanctioned SaaS Applications.

The following table describes the tiles at the top of the Unsanctioned SaaS Applications page.

All-Time SpendThis amount represents all the unsanctioned SaaS applications to date since your organization integrated SaaS Management with your Expense Management Provider (ERP). The All\-Time Spend may be divided among multiple currencies. Your organization’s Expense Management Provider (ERP) assigns the currency to the unsanctioned SaaS application. The Unsanctioned SaaS Applications page filters expenses based on the currency assigned to the expense by your Expense Management Provider (ERP), which may differ from your selected default currency in SaaS Settings.
All-Time PurchasesThis number represents the unsanctioned SaaS applications to date since your organization integrated with your Expense Management Provider (ERP). All\-Time Purchases may be divided among multiple currencies. Your organization’s Expense Management Provider (ERP) assigns the currency to the unsanctioned SaaS purchase.
Last DiscoveryThis tile displays the last time (in terms of days, hours, or minutes) the expense task ran for your organization’s Expense Management Provider (ERP).

Export CSVExports a listing of your unsanctioned SaaS purchases.
Multiple Currencies FoundThis button is enabled when your organization’s Expense Management Provider (ERP) has assigned multiple currencies to unsanctioned SaaS purchases. Click this button to view the unsanctioned SaaS purchases by currency and the number of expenses by currency. The selected currency populates the All\-Time Spend tile with the appropriate currency symbol and the All\-Time Purchases tile count.
SearchSearches the following columns using free-text search: Vendor , Application , Application Status , Purchases , Department , and Location .

The Flexera One Administer SaaS role is required to manage unsanctioned SaaS applications. For details, see Flexera One Roles.

The following table describes the Unsanctioned SaaS Applications columns.

ColumnDescription
VendorThis is the unsanctioned SaaS application’s vendor.
ApplicationThese unsanctioned SaaS applications were found in your financials (such as company credit card purchases or listed in employee expense reports). If there is an exclamation in front of the application name, this means you are managing the application with SaaS Management. However, this expense is not linked to the managed SaaS application.
Application StatusAn Unmanaged status means that the unsanctioned SaaS application has not been added to your organization’s list of Managed SaaS Applications. A Managed status means that the unsanctioned SaaS application has been added to your organization’s list of Managed SaaS Applications.
PurchaserThis is the email address associated with the unsanctioned SaaS application purchase.
Total CostThis is the total cost of the unsanctioned SaaS application purchase.
Latest DateThis is the latest date the unsanctioned SaaS application transaction appeared.
DepartmentThis is the organization’s department associated with the unsanctioned SaaS application purchase.
LocationThis is the organization’s location associated with the unsanctioned SaaS application purchase.
ActionsIf you have the Administer SaaS role, you can either: Start managing SaaS applications by clicking the plus (+) sign Exclude SaaS application expenses by clicking the minus (-) sign For details, see Discovering Shadow Spend.
